This policy explains what personal data we collect through this website, why we collect it, and what rights you have. It is based on the Swiss Federal Act on Data Protection (FADP) and, where it applies, the EU General Data Protection Regulation (GDPR).

What we collect

When you register for EBM 2027. Your name, email address, postal address, guild or country, room choice and any other details you enter in the registration form, together with your confirmation of the data protection checkbox.

When you email us. Your email address and whatever you write to us.

When you visit the website. Technical data such as your IP address, browser, device, the pages you visit, and the date and time of your visit. Our hosting provider collects this to keep the website secure and to produce basic visitor statistics.

Why we use it

• To process your registration and arrange the delegate package, including your hotel room
• To invoice you for the package
• To contact you about the event, for example about programme changes or practical information
• To keep the website secure and working properly

We do not sell your data and we do not use it for advertising.

Legal basis for visitors from the EU

We process your data to carry out your registration (Art. 6(1)(b) GDPR), to meet legal obligations such as accounting (Art. 6(1)(c) GDPR), on the basis of our legitimate interest in running a secure website (Art. 6(1)(f) GDPR), and on the basis of your consent where we ask for it (Art. 6(1)(a) GDPR).

Who we share it with

We only share your data where it is needed to organise the event or run this website:

• 25hours Hotel Zürich West, which receives your name and stay details to book your room
• [Other event partners, if any, and what they receive]
• Squarespace, which hosts this website and stores form submissions on our behalf
• Google, which provides the email account and spreadsheet we use to manage registrations
• Google Fonts: this website loads its fonts from Google's servers, which means your IP address is transmitted to Google when you open a page

Some of these providers process data outside Switzerland and the EU, including in the United States. Where that happens, the transfer relies on recognised safeguards, such as standard contractual clauses or the Data Privacy Framework.

Our Instagram and Facebook icons are simple links. If you click them, the privacy policies of those platforms apply.

Cookies

This website uses cookies that are necessary for it to work, as well as cookies for anonymous visitor statistics. You can manage your choice through the cookie banner or in your browser settings.

How long we keep it

• Registration data: until the event and its follow-up are completed. Records needed for invoicing are kept for as long as Swiss law requires, currently up to ten years.
• Emails: for as long as needed to handle your request.
• Technical website data: for the period set by our hosting provider.

Your rights

You can ask us at any time to:

• Tell you what personal data we hold about you
• Correct data that is wrong
• Delete your data, unless we are legally required to keep it
• Restrict or object to how we use it
• Give you your data in a common, machine-readable format

Where you have given consent, you can withdraw it at any time. This does not affect processing that took place before.
